# Automate Reporting: Schedule & Share AI Visibility Reports

A 7-phase workflow to set up automated visibility reports, create stakeholder dashboards, generate reports on demand, and build a sustainable reporting system.

Manual reporting doesn't scale. Every hour you spend pulling data and formatting slides is an hour you're not spending on actual optimization work.

This workflow helps you build a reporting system that runs itself. Over the next few days, you'll understand what Searchable tracks automatically, configure the reports you need, create dashboards for different stakeholders, and set up the exports and integrations that keep everyone informed without constant manual effort.

---

## What Runs Automatically

Before configuring anything, understand what Searchable already does for you.

On Pro+ plans, several things happen automatically every day:

**Daily visibility reports**: Your prompts are tested across all AI platforms overnight. By morning, you have fresh data on where your brand appeared (or didn't) in AI responses.

**Prompt categorization**: Your prompts are automatically organized by intent type, making it easier to filter and analyze performance by category.

**Opportunity digest**: Each morning, Searchable identifies your top opportunities based on the latest data and can send them to your inbox if you have email notifications enabled.

**Analytics sync**: If you've connected Google Search Console or Google Analytics, that data syncs regularly throughout the day.

---

## Phase 1: Understand Your Reports

Start by knowing what data you're working with.

### Visibility Report Deep Dive

For each tracked prompt, the visibility report tests across AI platforms:

| Platform | What's Tested | Metrics Extracted |
|----------|---------------|-------------------|
| ChatGPT (OpenAI) | GPT-5.2 responses | Mention, position, sentiment |
| Claude (Anthropic) | Claude Sonnet 4.5 responses | Mention, position, sentiment |
| Gemini (Google) | Gemini Flash 3.0 responses | Mention, position, sentiment |
| Perplexity | Sonar responses | Mention, position, citations |

Each prompt result includes whether you were mentioned, your position in the response, sentiment analysis, any citations to your content, and the context around your mention.

### Understanding Visibility Metrics

**Visibility Score (0-100)**: A composite score based on whether you're mentioned, where you appear in responses, and platform weighting. First position mentions score higher than later mentions.

**Presence Rate (%)**: The percentage of your tracked prompts where you get mentioned at all. If you have 50 prompts and get mentioned on 20, your presence rate is 40%.

**Share of Voice (%)**: Your mentions compared to total category mentions. If AI mentions 10 brands when answering prompts in your space and you're mentioned 3 times, your share of voice is 30%.

### Review Historical Data

On the Visibility page, you can examine trends over time. Look at daily score changes, platform-specific patterns, prompt-level performance, and week-over-week comparisons.

```
Analyze my visibility report trends over the past 30 days:
1. What's my overall trend? (improving/declining/stable)
2. Which platforms are improving vs. declining?
3. Which prompts show the biggest changes?
4. What patterns do you see in the data?
5. What might be causing these trends?
Give me actionable insights from the data.
```

---

## Phase 2: Configure Automated Reporting

Most of this runs automatically. Your job is to verify it's set up correctly.

### Verify Active Project Status

Automated reports require a Professional+ subscription, an active project with prompts, and at least 10 tracked prompts (recommended).

Check your status in Settings → Billing or click Upgrade Plan.

### Understand What's Automatic vs Manual

**Runs automatically (no setup needed):**

| Report | Frequency | What You Get |
|--------|-----------|--------------|
| Visibility Report | Daily | Full platform analysis across all AI engines |
| Opportunity Digest | Daily | Top 5 opportunities delivered to your inbox |
| Analytics Sync | Ongoing | Latest GSC/GA4 data if connected |

**Run manually when you need them:**

Free users can run visibility reports on-demand (since reports don't run automatically on the free plan). Site audits can be triggered manually but don't include automatic scheduled reporting.

### Configure Notification Preferences

Go to Settings → Notifications to control how you receive reports:

- Daily visibility report summary
- Significant visibility changes (plus or minus 10%)
- Daily opportunity digest
- Audit completion notifications
- Competitor movement alerts

Choose email, in-app, or both for delivery.

---

## Phase 3: Create Custom Dashboards

Different stakeholders need different views. Build dashboards that match what each group cares about.

### Executive Dashboard

Leadership wants high-level metrics and strategic implications:

```
Create an executive summary of my AI visibility performance:
1. Current overall score and trend (arrow up/down)
2. Share of voice position in market
3. Top 3 wins this period
4. Top 3 areas needing attention
5. Recommended strategic focus
Format this as a brief executive report.
```

### Marketing Team Dashboard

Marketing wants content performance and competitive context:

```
Create a marketing team report covering:
1. Which content is getting cited by AI?
2. Which prompts are we winning vs. losing?
3. Competitor content that's outperforming us
4. Content opportunities to pursue this week
5. Platform-specific strategies
Include specific recommendations for the content team.
```

### Technical Team Dashboard

Technical teams want implementation metrics and fixes:

```
Create a technical team report covering:
1. Current site audit score and issues
2. Schema markup coverage
3. Technical SEO issues affecting AI visibility
4. Page speed and Core Web Vitals
5. Priority technical fixes needed
Include specific tickets/tasks for the engineering team.
```

---

## Phase 4: Generate Reports On Demand

When you need reports for stakeholders or regular check-ins, you have two options.

### Use the Reports Feature (Pro+)

On the Visibility page, Pro+ users can access the Reports feature to generate formatted summaries of their AI visibility data. These reports include visibility scores, platform breakdowns, and competitive comparisons in a format ready to share.

### Ask the Agent

For custom reports or specific questions, ask the Searchable Agent directly:

```
Generate a weekly summary of my AI visibility:
1. Visibility score change this week
2. Share of voice movement
3. Top performing prompts
4. Declining prompts needing attention
5. Priority focus for next week
```

Or for monthly stakeholder updates:

```
Create a monthly performance summary covering:
1. Month-over-month visibility change
2. Platform-by-platform breakdown
3. Competitive position changes
4. Key wins and areas for improvement
```

The Agent can format these for different audiences (executive summary, detailed analysis, team briefing) and include the specific metrics your stakeholders care about.

---

## Phase 5: Export and Sharing

Not everyone lives in Searchable. Build workflows for getting data where it needs to go.

### Export Visibility Reports

On the Visibility page, click Export in the top right corner. You can generate a simple report for daily, weekly, or monthly timeframes. This gives you a formatted summary ready to share with stakeholders.

### Ask the Agent for Custom Data

For more detailed data bundles, ask the Searchable Agent:

```
Bundle my visibility data for the past 30 days:
1. All prompt performance data
2. Platform-by-platform breakdown
3. Competitor comparison metrics
4. Week-over-week trends
Format this for sharing with my team.
```

The Agent will compile and format the data for you, though there's no direct file export. Copy the response to share with stakeholders.

### Create a Reporting Schedule

```
Help me set up a reporting schedule:
1. What should I review daily vs. weekly?
2. Who should receive each type of update?
3. What KPIs should I track over time?
Create a simple reporting calendar for me.
```

---

## Phase 6: Connect Your Tools

Once the basics are working, connect Searchable to tools your team already uses.

### Project Management (Linear, Monday)

Connect Searchable to Linear or Monday to create tasks from opportunities and agent recommendations. Jira and Asana integrations are coming soon.

### API and MCP Access

For teams with specific needs, Searchable offers API access and MCP (Model Context Protocol) integration for custom workflows. Check the [documentation](https://docs.searchable.com) for technical setup.

---

## Phase 7: Monitor and Optimize Reporting

Reporting systems need maintenance too.

### Review Report Effectiveness

Every week, ask yourself: Are reports being read? Are insights being acted upon? Is the frequency right? Are the right people getting reports?

### Refine Report Content

```
Help me optimize my reporting:
1. What data in my reports is most actionable?
2. What data is ignored or not useful?
3. How can I make reports more scannable?
4. What additional data should I include?
5. What reports should I add or remove?
```

### Build Custom Analytics Views

```
Create a custom analytics view for tracking:
1. [Specific metric] over time
2. [Comparison] between periods
3. [Segment] breakdown
4. [Correlation] between factors
Show me how to visualize this data effectively.
```

## Frequently Asked Questions

### How often should reports run?

Visibility reports run daily automatically. That's the right frequency for tracking. For stakeholder distribution, match the cadence to the audience: daily for operators, weekly for managers, monthly for leadership.

### What if reports aren't being read?

Shorten them. Most people scan, not read. Lead with the single most important number, use trend arrows, and keep the full data in an appendix. If a report takes more than 2 minutes to understand, it's too long.

### How do I know if reporting is working?

Track whether insights lead to actions. If your reports surface an opportunity on Monday and nobody does anything about it by Friday, the reporting system isn't working. Either the insights aren't actionable or they're not reaching the right people.

### Should I automate everything?

Automate data collection and formatting. Keep interpretation and recommendation human. The best reports combine automated data pulls with human analysis that explains what the numbers mean and what to do about them.
